The Not-so-Fun Stuff: Kibin Probation & Termination Procedures

Incident Reports

An incident report is logged when an editor’s actions do not align with Kibin’s expectations for the editor. A Kibin admin may file an incident report when:

  • An editor violates the Editor Code of Conduct/ground rules.
    • e.g., missed deadlines, patterns of dropping documents, other such issues
  • An author submits an accurate/justified complaint about the quality of your work
  • Essential editing elements are not addressed in an edited document (does not apply to new editors who are not yet moved to “trusted” status)
  • An edited document does not meet Kibin’s quality standards in the same areas where feedback has been given previously (does not apply to new editors who are not yet moved to “trusted” status)
  • Your internal user feedback rating falls below 88%.

When you’ve accrued an incident report, a Kibin admin will inform you via email or Slack about the initial issue as well as the action taken and/or proposed solutions. An incident report could result in any of the following:

  • You may be asked to provide a second review of an edited document with specific editing elements in mind.
  • The admin may fix an issue with an edit on your behalf.
  • You may receive feedback on how to address the issue in the future. 
  • Sometimes no action is required except for the admin to alert you of the issue.

Probation and Termination

You will be considered for probation or removal from the team if patterns of poor behavior emerge or a significant number of incidents occur relative to volume of work and/or a period of time. In such circumstances, the Community Manager will consult with the Operations Manager, and the incident log will be reviewed to determine the best course of action. 

Probation

Probation may be considered when the incidents logged are primarily related to quality. You will likely be warned before being put on probation, but an editor may face immediate probation in outstanding circumstances. (Example: A quality audit finds many simple grammar errors in multiple recent documents, making it clear that you are not trying to do a good job consistently.)

In the event that admins elect to place you on probation, you will drop to the probationary tier (4) and your account will no longer be in a “trusted” status. In some instances, we may remove access to certain document types or entire segments, or the number of documents you can lock at once may be limited. 

Your work will be audited regularly as you are given an opportunity to improve. The Community Manager will provide specific steps for you to work out of probation. For instance, you may be able to move up to tier 3 after your edits pass muster for a period of time.  

Termination

Termination will be considered if the incidents logged are related to being a poor team player, being inconsiderate to users/editors/admins, repeated quality incidents with little to no improvement, or other violations of the code of conduct. The Community Manager will determine if additional incidents incurred will constitute termination when an editor is on probation.

Termination procedures

If the admins elect to remove you from the team, the Community Manager will notify you of the decision, effective immediately, and the number and scope of incidents on file.  

Any documents in your queue will be reassigned, and you will be paid for all work submitted or performed to that point. 

Once the account is paid in full, your access to the dashboard will be closed. Leaderboard bonuses are forfeited upon termination.

Final Thoughts

While the measures described above are not ones that we ever want to take, we want to set each of you up for your best chance of success as an editor by ensuring that we are clear and transparent about our expectations and these processes. 

Please know that we do our best to give everyone the benefit of the doubt and aim to be extremely understanding when handling incidents. Life happens -- we know that things are sometimes out of your control and can cause issues with work commitments. That said, we ask that you communicate with us about the situation or circumstances that led to the incident so that we can work together to solve the issue.
